General Knowledge Base Entries

What are the different web tools used within the SUNY Transfer Equivalency Platform?

The web tools used in the SUNY Transfer Equivalency Platform are:

SUNY Transfer Navigator (Public)
The Transfer Navigator is a SUNY-developed tool that creates a specialized view of SUNY-to-SUNY transfer equivalencies and allows for a high degree of customization.

Degree Works Transfer Equivalency Lookup (Internal Use)
The Degree Works Transfer Equivalency Lookup is an in-development tool that works directly with Degree Works data. This is an internal view for SUNY campuses, and shows equivalencies maintained by the selected institution. This tool is used to help review, clean and manage your equivalency records.

Where does the data for the Transfer Navigator come from?

The data is extracted from your Degree Works transfer articulation equivalencies for most campuses. For campuses that are not providing data from Degree Works, your data will come from the source you identify. Please use the provided Common Data Format to supply your records. Contact the Transfer and Articulation Office for assistance.

Implementation Knowledge Base Entries

Will all SUNY campuses be required to provide transfer equivalency data for the platform?

All campuses, regardless of their degree audit system or student information system, will be asked to prepare initial data for the tool by early 2025. In most instances data will already be available to the tool via campus Degree Works connections. Campuses will be asked to clean and prepare existing data to be assured only accurate information is shown and visible.

Will our campus need to install software?

No. This is a centrally hosted tool, and its functionality is supported by the existing Degree Works framework. It will be hosted at suny.edu on a SICAS/ITEC server.

What are the timelines for the tool implementation?

We will begin working with campuses immediately after we establish campus cohorts based on the readiness survey responses. The final tool is expected to be released in September 2025, with refinement and development occurring throughout Fall 2024.

Can we use the Transfer Navigator to replace campus-based transfer equivalency charts or tools?

The lookup that was initially development is designed to be a straightforward tool that provides first line equivalency data. Because it is structured like existing campus tools, it is robust enough to replace most tools that obtain data from campus information systems. If you have existing tools, custom pages, manually created guides or charts with specific guidance, you are not required to change those or discontinue their use. SUNY will continue to provide links to campus-based transfer equivalency guidance, particularly where additional information or guidance is required. As the platform is expanded, SUNY hope to make the data available directly to campuses so your tools can integrate the information, or link directly to resources within the platform.

How will campuses without records in their student information systems provide data?

If your campus is manually assessing transfer work without the aid of your student information system or other system, manual data entry may be required to provide initial data. Additional assistance will be available. The SUNY Student Success Office will work directly with your campus during the cohort rollout phase to assess needs and determine the best approach to providing initial data.

What equivalencies are the top priority for the tool?

While the majority of campuses will bring all equivalency data into the system through Degree Works, the top priorities will be SUNY-to-SUNY equivalencies, with a specific focus on the top transfer source schools or schools that you have existing equivalencies or agreements in place with.
